Administrative Coordinator

 Vantage Resort Realty Sales (“Vantage Sales”) is seeking an energetic, initiative-driven Administrative Coordinator to aid the Sales team, along with their supporting staff with various administrative tasks and projects.  Duties to include but not limited to preparing documents, filing, scheduling, basic financial record keeping, coordination of meetings, ordering of supplies, coordinating direct mailings, and working on special projects.  This position will also answer non-routine correspondence and assemble confidential and sensitive information. This position will interact with a diverse group of external callers and visitors as well as business partners.  This position requires the use of independent judgment to plan, prioritize and organize diversified workload and recommend changes in office practices or procedures.


Position Goals and Responsibilities:

  • This position will support business and operational needs of the Vantage Sales Team by assisting in the day-to-day operations of the office, and supporting the work of management and other staff while providing a high-level of administrative support through the following:
    • Greet visitors and callers, and route and resolve various confidential and non-routine information requests
    • Assist with special projects, which may include research, planning, and organizing
    • Schedule and organize activities such as meetings, travel, and other activities as requested
    • Prepare rooms for meetings; supplies, food, aesthetics, etc.
    • Establish, develop, maintain and update filing system with oversight
    • Respond to regularly occurring requests for information
    • Work independently and within a team on various ongoing initiatives
    •  Type and design a variety of communications including general correspondence, memos, charts, tables, graphs, business plans, etc., proofreads documents for spelling, grammar, and layout, making appropriate changes, for accuracy and clarity of final copy
    • Prepare and mail all USPS/UPS/Fed Ex packages


  • Lead engagement of consumers on social media through a variety of mediums:
    • Research, identify and select initiatives that will have the most impact on revenue growth
    • Plan, design and develop targeted social media campaigns


  • Builds relationships and work with Vantage Sales’ business partners internally and externally


  • Perform other duties as assigned



  • Administrative Support and/or educational experience
  • Must be proficient in Microsoft Suite, with special focus on Outlook, Word, Excel, and PowerPoint
  • Knowledgeable of current social media trends
  • Excellent listening, written, and oral communication skills
  • Acute sense of urgency
  • Strong time management skills with a deadline-driven mentality
  • Extremely detail-oriented
